Track time and send an invoice
Start a timer or type the hours, then turn unbilled time into an invoice with IVA and IRPF.
Record the hours
Open Time (Tiempo). To start, choose the project, add a note if you need one, leave Billable (Facturable) checked, and press Start timer (Iniciar). Press Stop timer (Parar) when you finish. To log time after the fact, use Add entry (Añadir entrada): project, date, hours, notes, then Add.
The weekly timesheet (Parte semanal) lists hours by project and day. Use the arrows to move a week. If a timer runs past the guard in Settings, the default is 4 hours, the dashboard and the Time page mark it Forgotten timer? (¿Temporizador olvidado?). Stop it and correct the entry if the hours are wrong.
Build the invoice from unbilled time
Open Invoices (Facturas). Choose the client, optionally a from/to range, leave From unbilled time (Desde tiempo sin facturar) checked, and press New invoice (Nueva factura). Hours group by project and rate into lines. Only time that is not already on an invoice is included.
On the invoice, IVA is 21, 10, 4, or 0 percent, added on top. IRPF is 15, 7, or 0 percent, withheld. A base of 1,000.00 with IVA 21% and IRPF 15% is due at 1,060.00: 210.00 of IVA added, 150.00 of IRPF withheld. The currency is the one in Settings, EUR unless you changed it.
Issue it, then send the PDF yourself
A draft does not take a number. Press Issue (lock + hash) to assign the next number in the series, such as F-2026-0001, and lock the invoice. Issued invoices are not edited in place. A correction is a factura rectificativa. Download PDF and send that file to your client.
Payment link (Enlace de pago) creates a Stripe Checkout link when Stripe keys are configured on the server. Until they are, the button does not open a payment page. Send email uses the server mail provider. On the public site that provider does not deliver to an inbox, so do not treat it as sent mail. Work Desk does not submit the invoice to AEAT, and it is not VeriFactu or Facturae.
